- What is double booking in scheduling?Double booking in scheduling means the system accepts two appointments that need the same person, crew, vehicle or room at the same time. It usually happens because the software checks whether a time slot is empty but not whether the resource behind it is free for the full length of the job.
- What is double booking?Double booking is promising the same slot, person or crew to two customers at once. A cleaner given two homes at nine, or a groomer with two dogs on one table, are typical cases. The cost is a rescheduled customer, a rushed job, or a lost relationship.
- How do you get away with double booking? You usually cannot hide a double booking, because the customer arrives and sees the other one. What works is honest overbooking: wider arrival windows, a waitlist, a clear policy, and a deliberate cap based on your real no-show rate. Hidden overlaps lose customers faster than the extra revenue earns.
- Why is overbooking legal?Overbooking is generally a business practice, not an offense by itself, because accepting more requests than capacity is a gamble the business takes on its own risk. What matters is what you promised, what you disclosed, and what you owe the customer if you cannot deliver. Rules vary by industry and state.
- What do we call an overbooking?People use several names for the same problem. Overbooking means accepting more than capacity, often on purpose. Double booking means two commitments for one slot, usually by mistake. A conflict or overlap is what a system flags. Oversell is the term for inventory or tickets sold beyond what exists.
- Does Calendly allow double booking?By design, no. Calendly's help center says it checks your connected calendar in real time and does not offer a time that is busy there. The protection covers calendars you have connected. Bookings kept in a notebook, another app or a second team calendar can still collide.
- Does Calendly prevent double booking?Calendly says yes: it checks the calendars you connect in real time and hides times that show as busy. The check depends on what is connected. It cannot see a second calendar you did not link, a crew count, or work that lives in a different system.
- How to avoid double booking appointments?Use one calendar for every channel, set a true duration on each service, treat each crew or room as a limited resource, and hold online requests as pending until someone confirms them. Then check tomorrow's board every evening. Most double bookings come from two lists or a missing duration.
- Why does my air duct cleaning scheduler keep double booking me?A duct scheduler double books when it blocks the wrong thing. Most systems block a calendar slot, but the true limit is a crew, a truck and a vacuum unit for a set number of hours. Tie each job length to those resources and the second booking stops fitting.
- Why does my appliance repair scheduler keep double booking me?Appliance scheduling doubles up when the system sees only open time slots and ignores which tech holds the right parts and skills. Add the skill to each service, treat each tech as a separate calendar, and send phone bookings through the same system the website uses.
- Why does my auto repair shop scheduler keep double booking me?A shop scheduler double books when it counts appointments instead of bay and technician hours. Two oil changes fit in an hour, a transmission does not. Attach a length and a bay to each service, and the system can refuse a slot that would overrun a lift.
- Why does my barber scheduler keep double booking me?A barber scheduler double books when each barber is not their own calendar. Give every barber a separate column, attach each service to a length, and route phone and walk-in entries to the same list the website reads. Then two clients cannot land in one chair at once.
- Why does my carpet and tile cleaning scheduler keep double booking me?A carpet and tile scheduler double books when it blocks a single time slot and ignores crew size and van count. Tie each service to the crew and van it uses, add real durations, and let every phone request enter the same calendar the website reads.
- Why does my concrete scheduler keep double booking me?A concrete scheduler double books when it treats a multi-stage job as one block of time. Forming, pouring, finishing and cleanup need different crews on different days. Schedule each stage separately and the same crew cannot be promised to two pours on one morning.
- Why does my contractor scheduler keep double booking me?A contractor scheduler double books when subcontractors and crews are not separate resources. Give each trade or sub their own calendar, enter every site visit against them, and flag two visits that overlap before confirming either. Then one plumber is not promised to two houses.
- Why does my dog grooming scheduler keep double booking me?A grooming scheduler double books when it ignores table and groomer capacity. Give each groomer a calendar, set a length for each breed and coat, and block the time for a dog that needs a bath, dry and clip. Then two big dogs cannot take the same table.
- Why does my drywall scheduler keep double booking me?A drywall scheduler double books when each stage of a job is not its own entry. Hanging, taping and sanding need the crew on different days, and the drying days between them are free for other work. Schedule stages separately and the crew can serve more than one job honestly.
- Why does my electrician scheduler keep double booking me?An electrician scheduler double books when it treats every tech as the same. Give each electrician a calendar, tie each service to a skill such as panel upgrades, and block time for the true job length. Then a panel swap cannot land on a tech who is already mid-job.
- Why does my exterminator scheduler keep double booking me?A pest control scheduler double books when it treats recurring and one-time visits as separate lists. Put both in one calendar, tie each service to a technician with the right license category, and give each visit a true length. Then a route stop cannot collide with an urgent call.
- Why does my fence scheduler keep double booking me?A fence scheduler double books when install days are scheduled without a crew count and material check. Give each crew its own calendar, schedule post setting and panel hanging as separate stages, and flag two installs on the same crew before either is confirmed.
- Why does my flooring scheduler keep double booking me?A flooring scheduler double books when it blocks a calendar slot but not the days an install really takes. Record the square footage and material for each job, set the length from them, and mark the crew as busy for the whole run, not just the first morning.
- Why does my garage door scheduler keep double booking me?A garage door scheduler double books when it sells a time without checking the single tech and the parts on the truck. Attach a job length to each service, treat each tech as a separate calendar, and enter emergency calls into the same list as booked work.
- How do I create a cleaning schedule that gives accurate time estimates?Create a cleaning schedule with honest durations by timing real jobs. Record start and finish for each home, group results by size and type of clean, and use the average plus a buffer, not a guess. Keep crew size constant per slot so the numbers mean something.
- How should a home inspector schedule inspection appointments?A home inspector should size each appointment by the home's square footage, age, and add-ons such as crawlspace or radon testing, then leave travel and notes time between jobs and cap the number of inspections per day. Longer slots for older or larger homes prevent rushed work and late starts.
- How does scheduling software work?Scheduling software stores who can work, what services take how long, and when people are available, then calculates open time slots from those rules. When a visit is confirmed it blocks that time for the person, so the next customer sees fewer openings. Rules such as buffers and lead time change what is offered.
- What is a double appointment?A double appointment is two appointments held for the same person or resource at the same time, so one customer will be late or turned away. It usually happens when two people book through different channels without a single shared calendar that checks for conflicts.
