Pricing explained: 12 questions about cost

Solo $59 per month for 1 user, Crew $99 for 2 to 5 users, Business $129 for 6 users plus $10 for each extra user. Priced by the number of users. There is no unlimited plan; over 50 users is a custom quote. No plan includes any texts, AI phone minutes or AI usage.

• Why does per-user pricing add up, and how do I work out my real monthly cost?Per-user pricing adds up because every person who logs in raises the bill, and many plans also jump to a higher tier at a set headcount.
• What does a text message cost, and why are texts not included in any plan?Every business text costs money, billed per message by a carrier and a texting provider, and the bill grows with how many you send.
• How does a prepaid wallet work, and why does it stop at zero?A prepaid wallet is a balance you fund first and spend down as texts and AI phone minutes are used.
• What does bring-your-own AI mean for what I pay?Bring-your-own AI means the AI features run on an AI account you open and pay for yourself, so the provider bills you directly for what you use.
• Does annual billing save money, and when should I choose it?On Apex, annual billing means you pay for 10 months and get 2 free, so a year costs ten monthly payments instead of twelve.
• What does the 14-day free trial include, and what stays off?Apex's free trial runs 14 days and needs no card.
• What do extra users above 6 cost, and what happens past 50 users?The Business plan covers 6 users for $129 a month.
• What do card processing fees cost, and does Apex add anything on top?Card processing fees are charged by the payment processor on each card payment, usually a percentage plus a small fixed amount per transaction.
• What does guided onboarding cost, and when is self-serve setup enough?Setup and import are free and self-serve on every Apex plan.
• What add-on and tier costs should I ask any scheduler vendor about before I buy?Ask every vendor for the all-in monthly price at your exact headcount with the add-ons you need switched on.
• How do I compare the real monthly cost of two schedulers for a 3-person crew?Build the same bill for both: the plan price at three users, then each add-on you would switch on, then usage for texts and AI, then card fees.
• What happens to my data and my bill if I cancel?Apex is designed as month-to-month with cancellation inside the app and a customer export, but both are only partly built, so confirm them in your account before you rely on them.
