Why does per-user pricing add up, and how do I work out my real monthly cost?
Short answerPer-user pricing adds up because every person who logs in raises the bill, and many plans also jump to a higher tier at a set headcount. Your real monthly cost is the plan for your headcount, plus any per-user charge, plus the add-ons you switch on. Count everyone who needs a login.
The explanation
A per-user price looks small until you count heads. A solo owner pays for one seat. Hire a helper and a part-time scheduler and you are at three. Then the bookkeeper wants a login and it is four. Each seat can also change which plan you need, because plans often cap users or hold features back for higher tiers.
To find your real monthly cost, write down four lines. First, how many people need a login, today and six months from now. Second, the plan price that covers that headcount. Third, any per-user charge above the seats the plan includes. Fourth, every add-on you would turn on, such as texting, AI answering or card processing. Add the four lines. That sum is the number to compare, not the headline price.
Apex prices by users in three bands: $59 for one user, $99 for two to five, and $129 for six. Above six, each extra user is $10, up to 50 users, then a custom quote. Texts and AI usage are not in any plan, so they belong on your add-on line instead of hiding inside the plan price. The table shows the monthly plan price at common headcounts.

Do part-time workers count as users?
Count anyone who needs their own login to see or change the schedule. A part-timer who only receives a text or a printed route sheet may not need one. Ask each vendor how it defines a user before you count seats.
How can I keep a per-user bill down?
Give logins only to people who change the schedule or close out jobs. Crew members who just need to know where to go can often work from a route sheet or a shared link. Check what each tool lets a limited-role user see.
What does a seventh user cost on Apex?
The Business band covers 6 users at $129 a month. A seventh user adds $10, so seven users is $139 a month. Each further user adds the same amount, up to 50 users.
