Evidence: 20 things owners dislike in schedulers
Trade pages cite these items by number. Each item lists where the complaint was found, how strong the evidence is, and the design rule Apex follows in response. Whether Apex fully delivers on that rule depends on the status noted for each item.
How to read this register
We name a product only when a dated source says what we say. Otherwise we write that the complaint is common across products. Counts are mentions we found, not how often a complaint occurs, and review sites are self-selected. Limits of this research:
- Reddit, G2, Software Advice, BBB (the one BBB URL tried was the wrong company), Jobber community returned 403/404/empty; Reddit evidence is snippet-level only.
- Firecrawl was rate-limited; App Store / Google Play review text was not fetched this pass (FieldRoutes App Store item is prior).
- Review-site counts are mentions I actually found, not frequency across all reviews. Never publish them as a prevalence statistic.
- Trustpilot ratings seen: Housecall Pro 2.8/5 (688), Jobber 4.2/5 (231), Workiz 1.4/5 (124), ServiceTitan 4.0/5 (425). Trustpilot is self-selected; Capterra scores for the same products are far higher.
- Pricing numbers from third-party sites (costbench, projul) are unverified: confirm on the vendor page.
- No evidence found of a field-service product giving a wrong price via AI; item 11 uses the Air Canada precedent and says so.
1. I pay per user and every new hire costs me more

2. It double-books me

Naming rule. Cite the Workiz reviews only as "a reviewer said"; the rest is common across products. Never claim a competitor double-books as fact.
Apex design rule. Every slot is held server-side with an expiring hold, capacity is per crew, confirm re-checks capacity, and pending requests hold nothing. N callers racing for one slot: exactly one wins.

Naming rule. Support complaints are everywhere; say "common across products" or name with the dated Trustpilot link.
Apex design rule. Two layers. Their customers calling the business: every call ends in a person, the assistant or voicemail, and an empty wallet or outage falls back to voicemail plus text-back, never a dead line. Owner support: a real phone line is a business commitment, not engine code.

4. My texts say delivered but customers never get them

11. The AI receptionist told a customer a wrong price

Naming rule. No field-service product has a sourced wrong-price incident in what we found. Say "AI receptionists can state wrong prices" and cite Air Canada; name nobody.
Apex design rule. The assistant may only say prices, hours and windows that exist in the business facts. A provider that invents a price, offers an unconfigured time, books a weekend, says "booked" for a pending request, or skips AI disclosure fails a scripted gate and is not allowed to answer calls.
