Electrician: scheduling questions answered

Trade group: Home trades. Reviewed 2026-10-07. Main site page: Electrical.

How it worksElectrical work mixes short service calls with larger jobs that need a permit and an inspection. A service call, like a dead outlet or a tripped panel, fits an arrival window. A panel upgrade or a rewire is a multi-visit project with rough-in, an inspector and a finish. Emergencies, such as no power or a burning smell, come in at any hour all year. Demand is steady rather than seasonal, so the scheduling problem is mixing urgent calls with permitted work that depends on someone else's calendar. Customers are homeowners and businesses.

How scheduling works in this trade

  • Permitted work depends on an outside clock. The inspector's availability decides when a job can close, so the schedule needs a visit for the inspection and a rule for what happens when it fails.
  • Service calls are hard to time because the fault is unknown until the technician arrives. A window plus a way to tell the customer when the job turns into a larger quote protects the rest of the day.
  • Power-off work needs the customer home and sometimes the utility. Plan those visits around the household, and warn them ahead of time how long the power will be out.
  • Two-person jobs, such as panel swaps and pulling wire, need a second tech scheduled at the same time. A helper who is assigned to two jobs at once stalls both.
  • Emergency calls pay well and break the day. Keep a rule for which calls interrupt scheduled work and which wait for the next opening.

Questions owners ask

How does a customer make an appointment with an electrician?

A customer can call, text or use an online page. A good request form asks for the address, the problem in plain words, whether any power is out, and a choice of arrival windows. The shop then confirms the visit, so the customer knows it is settled and not just asked for.

How long should I block for an electrical service call?

Block by call type. A single outlet or switch repair is short, a panel diagnosis takes longer, and any job that may need a permit or a second visit should be scheduled as a quote visit first. Review actual times monthly and adjust. Padding each slot slightly beats making every later customer wait.

How do I schedule around permit inspections?

Treat the inspection as a visit on the project, with a date once the building department gives one. Hold the finishing work until the inspection passes, and decide in advance what happens if it fails: a correction visit, a reinspection and a new date for the customer. Check your local office's rules for scheduling.

Should an electrician quote before or after seeing the job?

Quote after seeing the job unless the work is a standard item with a known price, such as a ceiling fan swap. A visit lets you check the panel, the wiring age and access. For flat-rate items, publish the price on the booking page so the customer knows what a basic call costs before you arrive.

How do I handle after-hours electrical emergencies?

Set a written rule: what counts as an emergency, who is on call, what after-hours rate applies, and how the call is logged. Tell customers on the booking page and the voicemail greeting. Without a rule, whoever answers decides, and the on-call tech may be dispatched to a problem that could have waited until morning.

How do I schedule two-person electrical jobs?

Mark the job as needing a crew of two and book both people to the same window. Keep the recurring pairing, such as a journeyman and an apprentice, on the calendar so a helper is not double assigned. When one person calls out, move the job instead of sending one person to something that needs two.

What should I ask the customer before the visit?

Ask where the problem is, what happened when it started, whether a breaker keeps tripping, whether any power is out, and where the panel is. Ask about access to the attic or crawlspace and whether pets will be in the way. A photo of the panel or the fixture helps the tech bring the right parts.

How do I ask for customer feedback after an electrician visit?

Send a short request a day after the job, with one link and one question. Ask when the memory is fresh and the power is back on. Handle complaints by phone, not in the same message. Texting needs a connected provider account first, so start with email if text setup is not finished.

How do I remind customers about a planned power shutoff?

Send the reminder the day before and again the morning of the visit, naming the time the power will go off and how long it may stay off. Mention any sensitive equipment, such as a home office or medical device, so the customer can prepare. A reply option lets them reschedule before the crew is on the way.

What should an electrician move off paper first?

Start with the customer and property list, then the day's calendar, and then quotes. Those three stop the most repeat calls and forgotten follow-ups. Permit and inspection dates can follow once the calendar is trusted. Moving everything at once usually stalls, so pick what is costing you jobs this month.

What owners dislike in an old scheduler, for electrician

Each item carries a label. Sourced items adapt a complaint with evidence links in our evidence register. Searched by owners items come from real search suggestions. Our read items are our own analysis of this trade, not measured complaints.

  • SourcedOwners report that scheduling software double books a technician. For an electrician, a double booking can put one person in two attics or leave a two-person panel swap short a helper. Evidence item 2 (3 sources)
  • SourcedOwners report that automated texts keep going after the customer has already replied. After a quote conversation about a panel upgrade, a fifth automated nudge feels like the shop has stopped listening. Evidence item 12 (4 sources)
  • SourcedOwners report that setup took weeks and a consultant. A small electrical shop with two trucks cannot spend a month entering price books before the first job goes on the calendar. Evidence item 15 (5 sources)
  • SourcedOwners report that apps lose notes and photos when there is no signal. Panels sit in basements and garages, so a photo of a panel label should not vanish before the tech leaves the house. Evidence item 7 (4 sources)
  • SourcedOwners report that the reports are useless. An electrician wants to know which calls turned into quotes and which quotes turned into jobs, not a page of totals that answer no question. Evidence item 10 (5 sources)
  • SourcedOwners report that vendors promised features that were not there. A shop that buys software for inspection tracking or a permit list should ask exactly which screens exist today. Evidence item 20 (4 sources)
  • SourcedOwners report that the price rises after year one. For a trade with steady rather than seasonal revenue, a mid-contract increase still matters, so ask what the renewal terms say. Evidence item 5 (4 sources)
  • SourcedOwners report needing three tools stitched together. Calls, texts and web requests landing in different places means a customer asking about a quote may be answered by the wrong person. Evidence item 14 (5 sources)
  • Searched by ownersOwners in this trade search for 'electrician scheduling software pricing', so cost is a first question. That is observed autocomplete, not a survey of electricians. Search phrase seen: “electrician scheduling software pricing”.
  • Searched by ownersOwners in this trade search for 'electrician scheduling software with crm', which suggests they expect the customer list and calendar in the same place. It is observed autocomplete. Search phrase seen: “electrician scheduling software with crm”.
  • Our read, not a measured complaintOur read: permits make electrical scheduling different. Software built around one visit per job treats an inspection as an afterthought, when it is the step that decides when the project can close.

Honest limits

Apex does not check licences, pull permits or schedule inspections with a building department, and permit tracking is only partly built. Electrical licence and permit rules differ by state and city, so confirm yours with your licensing board. Apex is a scheduler, not a load calculation or code tool.
