Handyman: scheduling questions answered

Trade group: Home trades. Reviewed 2026-10-07. Main site page: Handyman and carpentry.

How it worksA handyman sells variable small jobs: a door hinge, a leaking tap, a shelf, a list of odd tasks. Visits run from one hour to a full day, booked into arrival windows because earlier jobs overrun. Demand holds all year and rises before moves, sales and holidays. Customers are mostly homeowners and renters who describe the work vaguely. The hard part is not the calendar but knowing how long a job will take, so quoting from a photo and a short list carries more weight than usual.

How scheduling works in this trade

  • Jobs are described loosely. A customer who says 'fix the fence' might mean one board or a full run, so a photo and a few questions at request time prevent a wasted trip.
  • Small jobs for one customer are best bundled into one visit. A honey-do list of five tasks fits a half day, and booking them separately means five trips and five trip charges.
  • Arrival windows beat exact times because jobs overrun. Tell the customer the window at booking and send an on-my-way message when you leave, so they are not waiting at home.
  • A handyman licence rule often depends on job size. Many states set a dollar limit above which a contractor licence is needed. Check your state's limit yourself, since it varies.
  • Work depends on weather and parts. Exterior jobs slide on rainy days and some jobs need a supply trip first, so the schedule needs a simple way to move a job without losing the customer.

Rules note from our trade research: contractor licence above small-job limit. This is not legal advice; confirm with your own licensing body.

Questions owners ask

How should a handyman price small jobs: by the hour or by the job?

Both are common practice. Hourly suits unclear jobs and bundles of small tasks. A flat price suits jobs you have done many times, such as hanging a TV. Whichever you choose, state a minimum charge for short visits and tell the customer before arrival, so the first invoice is not a surprise.

How do I quote a handyman job from a photo?

Ask the customer to upload a photo or two and answer a few questions on the request form, such as size, material and access. Give a range or a flat price based on that, and say what would change it. A photo quote saves a wasted site visit and filters out jobs you cannot do.

Should a handyman bundle small tasks into one visit?

Yes. A list of five small tasks fits a half day, and one visit means one trip and one setup. Offer the customer a bundle price or a half-day rate and ask for the full list at booking. A customer who adds tasks on site is better handled with a simple add-on on the invoice.

How long should an arrival window be for a handyman?

Two to four hours is common, because earlier jobs run over and parts runs happen. A shorter window means more calls and tighter days. Say the window at booking and text when you leave. A customer who knows the window is far less likely to call before it ends.

What happens when a handyman job runs over?

Tell the next customer early, and move them to a later part of their window if possible, rather than arriving late without notice. Keep a buffer of 30 to 60 minutes between jobs on days with uncertain work. A short message beats a late arrival every time.

How do I handle jobs that need a second visit for parts?

Leave the job open with a note of what is needed, who buys it and when you are returning. Tell the customer the plan before you leave. A second visit that is scheduled and confirmed on the spot rarely turns into a complaint; one that is left vague does.

What licence limits apply to handyman work?

Many states allow unlicensed work below a set dollar amount and require a contractor licence above it. The limit and the rules on electrical and plumbing work differ by state. Confirm yours with your state licensing board, and keep each job's estimate on file so you can show it stayed under.

How do I schedule weather-dependent outdoor jobs?

Book exterior work with a flexible date and say so at booking. When rain is forecast, move the job and tell the customer the same day. A bulk move of a whole day is easier than calling each customer separately. Keep indoor jobs ready as filler for a rained-out day.

How can a handyman get paid on the job?

Send an invoice and a pay link to the customer's phone when the work is done, or keep a card on file for returning customers. The payment processor charges its own rate. Tap-to-pay with a card reader is not built yet, so a link is the route.

What should a handyman move off the notebook first?

Start with the customer list and the schedule, since a missed callback costs more than anything else. Then move quoting and invoices. Photos and job notes follow. The first goal is simply that no customer and no promised visit lives in only one place.

What owners dislike in an old scheduler, for handyman

Each item carries a label. Sourced items adapt a complaint with evidence links in our evidence register. Searched by owners items come from real search suggestions. Our read items are our own analysis of this trade, not measured complaints.

  • SourcedOwners report no route logic and a zig-zag day. A handyman with five small jobs across town loses an hour of every day to driving that a better order would have saved. Evidence item 13 (4 sources)
  • SourcedOwners report not reaching a human when the software breaks. A one-person handyman with a van full of tools cannot afford to wait for a support line. Evidence item 3 (6 sources)
  • SourcedOwners report surprise bills and fees on every invoice. A handyman with many small tickets feels a per-invoice fee more than a contractor with a few large ones. Evidence item 17 (5 sources)
  • SourcedOwners report features that arrive as add-ons and a price that stacks. For a solo handyman, quoting, payments and texting priced apart can outrun the earnings from the jobs. Evidence item 16 (5 sources)
  • SourcedOwners report that each new hire raises the bill. A handyman who brings in a helper for busy weeks pays software for a seat that sits unused in slow ones. Evidence item 1 (4 sources)
  • SourcedOwners report needing three tools stitched together. A handyman who keeps requests in a text thread, the schedule in a calendar and invoices elsewhere loses jobs between them. Evidence item 14 (5 sources)
  • SourcedOwners report that setup takes weeks. A handyman with no office hours needs a short setup that skips what he does not use. Evidence item 15 (5 sources)
  • Searched by ownersOwners in this trade search for 'handyman scheduling software pricing'. That is observed autocomplete evidence, not a survey, and it suggests price is the first question. Search phrase seen: “handyman scheduling software pricing”.
  • Our read, not a measured complaintMost tools assume one job per visit. A handyman's day is a list of small jobs per customer, and a tool that books each task separately triples the paperwork.
  • Our read, not a measured complaintVague job descriptions cause the most wasted trips. A request form without a photo and a few questions sends the handyman out with the wrong tools.

How Apex fits handyman

In progress

The booking page can take photos and short answers with a request, and the owner reviews it before confirming. A customer's request arrives as pending and only becomes a visit once the owner confirms it.

Rolling out

A customer can hold several properties, such as a landlord's units, and each visit keeps its own notes and photos, so repeat work at the same address starts with context.

Honest limits

Apex does not set or check your state's handyman licence limit, and it is not a bookkeeping tool. Photo quoting is in progress and tap-to-pay hardware is not built. Confirm your licence rules and any dollar limits with your state yourself.
