Flooring installer: scheduling questions answered

Trade group: Home trades. Reviewed 2026-10-07. Main site page: Remodeling and flooring.

How it worksFlooring work is scheduled around a measure, an order and an install. A measure visit comes first, because the quote depends on square footage, subfloor condition and layout. Material is then ordered, often with a lead time, and some products need to sit in the home before laying. The install takes one to several days depending on the room count, and furniture, demo of the old floor and subfloor repair can add stages. Customers are homeowners and builders, and work runs year-round with remodel peaks.

How scheduling works in this trade

  • The measure visit is the real start. Book it as its own appointment, record each room, the subfloor and the transitions, and tie the measurements to the quote so the order matches the install.
  • Material has lead time. A confirmed install date should wait for a confirmed delivery, otherwise the crew shows up to an empty room. Store the order date and expected arrival on the job.
  • Hardwood and some other products need time to adjust to the home's humidity before installation, which is called acclimation. Build that wait into the schedule instead of treating it as slack.
  • Demo, subfloor prep, install and trim are often separate stages, and sometimes separate people. Sequence them as stages with dependent dates.
  • Furniture moves, stairs and elevators change the day's length. Capture them in intake questions so the crew's day is sized correctly.

Rules note from our trade research: contractor licence (some). This is not legal advice; confirm with your own licensing body.

Questions owners ask

How do I schedule a measure visit and an install?

Book the measure as a short windowed appointment, quote from the measurements and only then schedule the install once the customer approves and the material has a delivery date. Link the two on one job so the measure notes follow the crew to the install.

How do I handle material lead times?

Record the order date and the promised arrival date on the job, and check the promise a week before the install. If the delivery slips, move the install before the crew is committed. Never confirm an install date to the customer before the delivery date is firm.

What is acclimation and how does it affect the schedule?

Acclimation means letting flooring sit in the home so it can adjust to the room's temperature and humidity before laying. The right time depends on the product, so follow the manufacturer's directions. Put the waiting period between delivery and install on the calendar so it is planned, not discovered.

What should a flooring quote include so the install goes smoothly?

Measured areas by room, the product and waste allowance, demo, subfloor prep, transitions, stairs and furniture handling as separate lines. Add photos or notes of unusual conditions. Options for different grades help the customer choose and keep the job from changing after the order.

Do I need a deposit for flooring work?

A deposit at approval is common practice, because material is ordered on the customer's behalf and special orders usually cannot be returned. State the amount rule and the refund rule on the quote. Check your state's rules on deposits and contractor requirements.

How do I schedule a multi-day install across crews?

Break the install into days by room or by stage, assign a lead and helpers, and keep the same crew from start to finish where you can. Note which rooms must stay usable overnight. Put a buffer day after large installs for touch-ups and customer walk-through.

How should I price flooring jobs?

A common method is a price per square foot for material and for labor separately, then line items for demo, subfloor prep, stairs, transitions and waste. Keeping the lines separate lets customers adjust scope and makes change orders easier to explain.

How do I handle change orders when the subfloor is worse than expected?

Stop, photograph the problem, price the fix and get the customer's written approval before continuing. Attach the approved change to the job so the invoice matches. Telling the customer the same day is easier than explaining a surprise charge at the end.

What should I look for in flooring business software?

Check measurement takeoff, quote options, order tracking and scheduling for multi-day installs. A design tool that renders rooms is a different product from a scheduler, so decide which problem you are solving first. Test with a real job and confirm you can export your own data.

How do I follow up on flooring quotes?

Set a reminder a few days after sending, another near the quote's expiry date and stop the moment the customer replies. Flooring decisions often wait on a budget or a partner's opinion, so keep notes about what the customer said and call again when the timeline comes up.

What owners dislike in an old scheduler, for flooring installer

Each item carries a label. Sourced items adapt a complaint with evidence links in our evidence register. Searched by owners items come from real search suggestions. Our read items are our own analysis of this trade, not measured complaints.

  • SourcedOwners report that updates move the buttons. An installer who learned the quote screen in January should not have to hunt for it in March. Evidence item 8 (5 sources)
  • SourcedOwners report features promised in a demo that were not in the product. For flooring, a missing measurement or option feature shows up the first time a real quote is built. Evidence item 20 (4 sources)
  • SourcedOwners report trouble getting data out. Measurement notes and past quotes are how a flooring company answers a repeat customer's call years later. Evidence item 9 (4 sources)
  • SourcedOwners report stitching several tools together. A quote in one app, a calendar in another and invoices in a third means the measure notes never reach the crew. Evidence item 14 (5 sources)
  • SourcedOwners report features sold as add-ons that stack up. Quote options or progress billing can sit behind a higher tier, and the final bill grows beyond the first quote. Evidence item 16 (5 sources)
  • SourcedOwners report reports that are not useful. A flooring owner wants quotes sent against jobs won, not generic revenue charts. Evidence item 10 (5 sources)
  • SourcedOwners report that setup takes weeks. A small installer cannot pause estimating for a month of data entry. Evidence item 15 (5 sources)
  • SourcedOwners report prices raised after year one. A flooring company that put its quotes and customer list into a tool is poorly placed to walk away at renewal. Evidence item 5 (4 sources)
  • Searched by ownersOwners in this trade search for 'flooring business software pricing', which is observed autocomplete evidence that price is a front-line question in this trade. Search phrase seen: “flooring business software pricing”.
  • Searched by ownersOwners in this trade search for 'flooring company software free trial', so they want to test a tool with a real job before paying. Search phrase seen: “flooring company software free trial”.
  • Our read, not a measured complaintOur read: flooring has a split personality. Design and visualization tools get the search traffic, but the day-to-day pain is the order, the lead time and the empty room.

Honest limits

Apex is a scheduler and quote tool, not room-design or rendering software. Measurement takeoffs and quote options are rolling out or in progress, so check each badge. It does not hold supplier price lists or place material orders in a verified way. Contractor licence rules vary by state, so confirm yours.
