The explanation

Special-order flooring is the biggest exposure. Once boxes arrive, a customer's change of mind leaves you with a pallet that is hard to resell, and some wood products need days to settle in the house before installation. The deposit at order is not a penalty, it is how the material is paid for.

Readiness is the second source of last-minute cancels. The old floor is not out, the subfloor needs repair, or the furniture is still in the room. Ask for a short confirmation a week before and again two days before that lists these items.

Be clear about what happens if the customer pauses after delivery. Material that has been delivered and opened is usually non-returnable, so tell the customer upfront who owns it and for how long you will hold it.
