How do I stop concrete customers from ghosting appointments?

Process: Cancellations and no-shows. Trade: Concrete contractor. Reviewed 2026-10-07.

Short answerPut an expiry date on every quote, follow up three times over two weeks, and get the pour date signed before ordering material. Concrete customers ghost mostly after the estimate, and an open-ended quote lets them return in six months expecting last season's price and a free week on your calendar.

The explanation

Most ghosting in concrete is not a missed visit. It is a quiet customer after the estimate. They compared bids, picked someone else, or postponed, and no one told you. Without an expiry, the quote lingers as a hopeful entry that distorts your pipeline.

A short follow-up sequence helps. The first message a few days after the quote asks if they have questions. The second, a week later, mentions that your schedule is filling for the season. The third states the quote expires on a date and asks for a yes or no. Many replies arrive at the third message, simply because it asks for a decision.

Once they say yes, lock the date. A deposit and a signed pour date turn a hopeful customer into a scheduled job, and protect you from ordering material for someone who disappears.

Steps

  1. Add an expiry date to every concrete quote and state it in the document.
  2. Send follow-ups at a few days, one week and just before expiry.
  3. When the customer accepts, collect the deposit and a signed pour date.
  4. Mark expired quotes as lost with a reason so your numbers stay honest.

In concrete contractor

Concrete jobs are quoted per site and compared among several bidders, so silence usually means the customer chose someone else. The pour date and material order should wait until a deposit and signed date exist. All concrete contractor scheduling questions.

How Apex does it

Part of this is built. The rest is not. Status as of 2026-10-07; the badge shows the least-built feature involved.

Apex is designed to set quote expiry dates, run quote follow-up automations and take a deposit when a quote is approved. Expiry dates are rolling out, and follow-up automations and deposits are in progress.
