Deposit: what it means

Glossary term. Reviewed 2026-10-07. Process: Invoicing and payments.

DefinitionA deposit is a portion of the price paid before the work begins, used to secure a booking, cover early costs such as materials, or discourage last-minute cancellations. It is credited against the final bill, and the terms should say when it is refundable.

How it works in a service business

Deposits help most where the business takes a loss when a customer vanishes: a big deep clean, a custom order, a day reserved for a crew. Charging one filters out casual bookings and shows commitment. The tradeoff is conversion, since some customers abandon a booking page that asks for money first. A common mistake is a deposit without a written refund rule, which turns a cancellation into a dispute. State the amount or share, when it is due, what it covers and under what circumstances it is returned. Keep deposits for jobs where the risk justifies the friction, and skip them for low-cost repeat visits from customers you already trust.

Example

A mobile detailer asks for a deposit when the customer books a full ceramic coating, applied to the final bill, and returned if the customer cancels more than two days ahead.
