How to manage difficult clients?

Process: App reliability and support. Reviewed 2026-10-07.

Short answerManage difficult clients over time by recording the pattern, tightening the terms for them, pricing the extra effort, and deciding ahead of time what behavior ends the relationship. A hard client you keep on purpose is a business decision. One you keep by default quietly drains your crew and your calendar.

The explanation

The first step is evidence. Note each late payment, last-minute cancellation, or scope fight on the customer record with the date. Three entries tell you whether you have a bad week or a bad customer.

Next, change the terms for that account. Require a card on file, a deposit, or payment at visit. Add buffer time to their appointments if their jobs always run long. If their demands cost you hours, raise the price to match, and let them decide whether the work is worth that.

Finally, set a stop line you can say out loud: two no-shows in a year, one abusive call, one bounced payment. When it is crossed, decline future work and tell the crew so the next booking request does not slip through. Keep the message short and unemotional.

Steps

  1. Log each incident on the customer record with a date.
  2. Tighten terms for that account: deposit, card on file, or pay at visit.
  3. Price extra effort into their jobs or add buffer time.
  4. Decide a stop line and mark the account so the whole team knows.

What to watch for

  • Letting one big customer set a precedent your other clients can see.
  • Keeping the stop line private so each staff member decides alone.

How Apex does it

In progress

Part of this is built. The rest is not. Status as of 2026-10-07; the badge shows the least-built feature involved.

Apex has a do-not-service flag, private staff-only notes, and card-on-file and cancellation policy settings, so a repeat problem customer can be marked and a stricter rule applied without relying on memory.

  • LD20Do-not-service / blocked customer list(Rolling out)
  • LD35Private staff-only customer notes(Built)
  • BK34Require card on file to book(In progress)
  • BK23Cancellation policy and no-show fees(In progress)
