How to delete a job in field service software?

Process: App reliability and support. Reviewed 2026-10-07.

Short answerDelete a job only if it was a duplicate or test entry that never involved a customer. For real work that did not happen, cancel or void it so invoices, payments and reports stay accurate. Deletion removes history, and an audit trail is what lets you explain any number later.

The explanation

Jobs are connected to money and time. Deleting one that has an invoice, a payment, a timesheet entry or a deposit can leave orphaned numbers, or the system may refuse. Voiding keeps a clean paper trail. A voided job still appears in history with a reason, which is what an accountant will want to see.

Use deletion for entries that were never real: a duplicate created by double click, a test job or a draft entered under the wrong customer. Check for linked items first, move any that are real to the correct job and then delete the empty shell.

If you manage staff, set permissions so only owners can delete. That prevents accidental loss and reduces temptation to hide mistakes. An audit log, where available, shows who removed what and when.

What to watch for

  • Deleting a job that has a payment attached.
  • Letting every user delete records.
  • Hiding a mistake instead of voiding it.

How Apex does it

Part of this is built. The rest is not. Status as of 2026-10-07; the badge shows the least-built feature involved.

Apex is designed to use roles and permissions, keep an audit log and use job statuses. Roles are built for our first business, while the audit log is rolling out and statuses are in progress.

  • AD03Audit log(Rolling out)
  • SC24Job statuses and custom workflow(In progress)

Apex Flow Scheduler is in early access. See how we label status.
