How to keep track of client information safely?

Short answerLimit who can open client records, keep a second copy outside the system you work in, and know how to export your full list at any time. Safety is mostly about access and backups, not exotic tools. Test that you can restore the copy, because an untested backup is only a hope.

The explanation

Start with access. Give each person their own login, and give field crews only what they need for the day: the address, the access note and the job. Owners and office staff may need billing history and phone numbers, but a new helper does not.

Next, copy the data. Export the customer list on a schedule to a place you control, such as a folder on an external drive or a second cloud account, and name the file with the date. Open the file once to make sure it contains what you expect.

Finally, plan for leaving. If you ever switch tools, you will want your customers, addresses, notes and invoice history in a format another system can read, usually CSV. Ask any vendor you consider how export works and whether it costs anything before you load years of customer data into it.
