Are deposits for appointments refundable?
Short answerA deposit is refundable only as far as the policy you published, and the rules where you operate, allow. The safe approach is to state in writing, before collecting, how much is taken, when it is refundable, when it is kept, and how it applies to the final bill. Customers accept clear rules better than surprises.
The explanation
Decide what the deposit is for. For a service with scarce slots, it protects against no-shows. For a project, it covers materials ordered. Say so, because a customer who thinks the deposit is a payment on the work will be upset if it is kept.
Set tiers for refunds: full refund if cancelled with more than a stated notice, partial within a shorter window, none for no-shows. Write the amounts and times in plain words on the booking page, on the confirmation and on the invoice.
When a customer disputes a kept deposit, point to what they accepted. Be flexible when circumstances are real, such as illness or a death in the family; the goodwill is worth more than the sum. If you take larger deposits or sell at customer homes, check state and federal rules on cancellation rights.
