How to cancel a booking made by mistake?
Short answerIf a visit was entered by mistake, cancel it with a clear reason, check that no reminder, invoice or deposit is attached, and tell the customer before an automatic notice reaches them. Treat it as a correction, not a normal cancellation, so it does not trigger your late cancellation fee.
The explanation
Start by finding what the mistake touched. A single visit can have a reminder queued, an invoice drafted, a deposit taken, a route stop and a crew assignment. Remove or void each so nothing fires later.
Mark the reason as entered in error. This keeps your cancellation reports clean, because mistakes should not count as customer behavior. If the system has no such reason, add a note on the job.
If the customer already received a confirmation, message them first with a short, plain correction. A confusing automated cancellation after a confirmation looks worse than a short human note. If a payment or deposit was taken, refund it and confirm the refund in writing. Keep a short note of what was changed so a later audit makes sense.
What to watch for
- Letting a queued reminder go out after the fix.
- Charging a late fee on an error.
- Forgetting an attached deposit or payment.
How Apex does it
Rolling out
The screen and the rules are built and tested. Saving real customer data is not connected yet. Status as of 2026-10-07; the badge shows the least-built feature involved.
Apex is designed to issue refunds and credits, reassign jobs with notices and send confirmation messages once messaging is connected. Refunds and reassignment are rolling out, and messaging needs a connected provider.
