How do I deal with bad customers before they become a problem?

Short answerDeal with bad customers by screening at the quote stage. Warning signs include haggling over a small figure, refusing a deposit, a history of firing other providers, and vague scope. Written terms, a deposit, and a firm cancellation rule filter most of them out.

The explanation

The customers who cost you the most usually show it early. They dispute the price before the work, say the last three providers were all bad, change the scope three times in one call, or resist a deposit. None of these proves a problem, but together they predict one.

Deposits and written terms are the filter. A customer who agrees to a deposit and the cancellation rule has signaled they understand the deal. One who refuses may be telling you something important about how payment will go.

You are allowed to decline. A job that loses money or morale is more expensive than an empty slot. Decline politely, say you are not the right fit, and move on. Keep your own list of customers you have declined or released, with the reason. It prevents you from taking the same problem back months later when a slot is empty.

  1. Note any warning signs on the quote call and write them on the record.
  2. Require a deposit and written terms for new customers when risk is high.
  3. State the cancellation rule before booking and get acceptance in writing.
  4. Decline politely when two or more flags appear together.
