How to cancel a job in field service software?

Process: Cancellations and no-shows. Reviewed 2026-10-07.

Short answerCancel a job in field service software by setting a cancelled status with a reason, voiding any draft or unpaid invoice, releasing the crew and route slot, and settling any deposit under your policy. Keep the job in history so your cancellation numbers stay accurate.

The explanation

A job is more than a calendar block. It may carry a quote, a deposit, parts, an assigned crew and one or more visits. Cancel the job itself, not just one visit, if the whole work is off. If only one visit moved, reschedule instead.

Handle the money attached to it. A draft invoice should be voided, an unpaid one cancelled with a note and a deposit refunded or kept according to the policy the customer agreed to. If parts were ordered, record the cost so the loss is visible.

Then record the reason. Reasons such as price, went with another company or customer changed their mind tell you where jobs are lost. Over a quarter, they show whether quotes are too high, too slow or too vague.

What to watch for

  • Cancelling one visit when the job is still happening.
  • Leaving a draft invoice open.
  • Forgetting costs for ordered parts.
