How do I improve my no-show rate?

Process: Cancellations and no-shows. Reviewed 2026-10-07.

Short answerDivide the number of no-shows by the number of scheduled visits over a fixed period, then split the result by weekday, service and how the visit was booked. The split shows where the problem lives. A single overall rate hides that most misses often come from one day or one source.

The explanation

Many owners fix no-shows by feel and end up with a policy that annoys good clients. Measure first. Pick a period such as the last ninety days, count scheduled visits, and count how many ended as no-shows, separate from cancellations that gave notice.

Then cut the data. If Mondays have double the misses, perhaps weekend bookings are forgotten. If one service type dominates, perhaps its price is too low to feel binding. If online requests miss more than phone bookings, the form may be capturing weaker commitment than a conversation.

Change one thing at a time and watch the same rate for another period. A reminder change, a deposit on one service, a shorter lead time: you can only learn what worked if you altered one variable.

Steps

  1. Pick a period and count scheduled visits, no-shows and late cancellations separately.
  2. Calculate the no-show rate as no-shows divided by scheduled visits.
  3. Split by weekday, service type and booking source.
  4. Change one control, such as reminders or deposits, and re-measure over the next period.

What to watch for

  • Lumping cancellations with no-shows. They have different causes and different fixes.
  • Judging a change after a week. Small samples swing wildly.
