How do I stop contractor customers from canceling at the last minute?
Short answerSeparate estimate visits from project start dates and protect each differently: a short confirmation for estimates, and a signed agreement plus a start deposit for the project. A cancelled estimate costs a drive and an hour, while a cancelled start date can idle a crew and a subcontractor for days.
The explanation
General contractors face two very different cancellation moments. The first is the estimate appointment, where the customer is shopping and the cost to you is travel and time. A confirmation message the day before, with a reply requested, trims no-shows. Photos sent ahead help you decide whether the visit is worth the drive at all.
The second is the start date. By then you may have ordered materials, scheduled subcontractors and turned down other work. A signed agreement that includes a start deposit and a stated cancellation rule, such as the deposit covers ordered materials, protects you.
Also write down what happens when the customer postpones. A postponement with no new date is a cancellation in disguise, so give it a short window before the crew is released to other jobs.
