How to send reminders?

Process: Reminders and texting. Reviewed 2026-10-07.

Short answerTo send reminders well, match the cadence to how far ahead the visit was booked: an instant confirmation, a reminder a day or two before, and an extra nudge the morning of for jobs with access issues. Visits booked weeks ahead may need a mid-point reminder too. Stop there, since more feels like spam.

The explanation

A confirmation message right after booking tells the customer the request was received and what happens next. It also catches typos in the address or phone. Without it, the customer wonders whether anything happened.

A reminder a day or two before is the workhorse. It gives the customer time to reschedule rather than no-show. For jobs booked six weeks out, add a reminder a week before, since people forget. For emergency calls, skip the cadence and rely on an on-the-way message.

Pick the channel by customer. Text is fastest, email is fine for formal notes. Track how many reminders lead to reschedules and no-shows, and tune from there. If no-shows stay high despite reminders, add a deposit or a stricter cancellation rule, and tell customers about it at booking.

Steps

  1. Send a confirmation at once after the booking.
  2. Send a reminder one to two days before the visit.
  3. For long lead times, add a mid-point reminder a week out.
  4. Add a morning-of nudge only for jobs with tricky access.

What to watch for

  • Sending a reminder with no way to reschedule.
  • Piling on four reminders for a single appointment.

How Apex does it

Built, rolling out

Built. A real server path exists; only setup steps remain before customers can use it. Status as of 2026-10-07; the badge shows the least-built feature involved.

Apex has appointment reminders, confirmation messages and an on-the-way text with an ETA. All three are built, and any text only sends once the owner connects a provider account and completes number registration.
