How to send an appointment reminder email?
Short answerTo send an appointment reminder email that gets read, put the date and arrival window in the subject line, repeat them in the first line, add the address and any prep the customer must do, and include a link to reschedule or cancel. Send it a day or two before, from an address that accepts replies.
The explanation
Subject lines decide whether the email is opened. Something like Your visit Thursday, 9 to 11 am works better than a generic reminder. The customer sees the key facts without opening, and you reduce the number of people who need to look it up.
Inside, keep it short. Give the date, window, the name of who is coming, and any prep such as moving furniture or securing pets. A link to reschedule or cancel replaces a back-and-forth, and a reply-to address that reaches a human handles the rest.
Send it far enough ahead to act on, usually a day or two before. Check spam placement by sending to a few different mail providers. Emails sent from a personal webmail address can land in junk, so use your business domain if you can and keep messages plain.
Steps
- Put the date and window in the subject line.
- Repeat the date, window, address and the name of who is coming in the first lines.
- List any prep the customer needs to do.
- Add a reschedule or cancel link and a reply-to address that reaches a person.
What to watch for
- Sending from a no-reply address, which customers resent.
- Skipping the spam check on different mail providers.
