How to send a reminder?
Short answerSend one reminder the day before the visit, by the channel the customer agreed to, with the date, the arrival window, the address and a link to change or cancel. Add a short on-the-way message on the day. Two timely messages beat five early ones.
The explanation
A good reminder answers four questions at a glance: when, where, who and what to do if plans change. Put the day and arrival window in the first line. A customer who has to scroll to find the time often misses it.
Timing matters more than volume. Too early and people forget; too late and they cannot change plans. The day before suits most home visits. For a service with a big prep step, add a second message a few days ahead that explains the prep.
Make changing the visit easy. A reschedule link saves a phone call and keeps the slot from sitting empty. Record who confirmed, so the next morning you know which visits are solid. If someone replies STOP, stop at once and note it in their record.
Steps
- Collect the customer's preferred channel when the visit is accepted.
- Send a day-before message with date, window, address and change link.
- Send an on-the-way message with an estimate on the day.
- Record confirmations and replies on the customer's record.
What to watch for
- Sending after a customer opted out.
- Using the same message for every service.
How Apex does it
Built, rolling out
Built. A real server path exists; only setup steps remain before customers can use it. Status as of 2026-10-07; the badge shows the least-built feature involved.
Apex builds a day-before reminder, a confirmation message, an on-the-way text and a reschedule link for the customer. Texts need the owner's provider account and carrier registration connected first; until then email is the channel.
