How to send a calendar reminder?
Short answerOpen the event in your calendar, add the customer's email as a guest and set a notification time, and the calendar sends an invite with a reminder. That works for a handful of visits. For a full route, an automatic reminder from the scheduling record saves the retyping.
The explanation
In most calendar apps the steps are the same: create the event with the date, time and address, add the guest, choose how long before the event the alert fires, and send. The guest receives an invite and can accept, decline or propose another time.
The weakness is volume and detail. Each invite is typed by hand, there is no arrival window, and the customer often ignores a calendar invite because it looks like marketing. A reply of Yes does not tell you whether the gate will be open.
For routes, send the reminder from the visit record instead. The message should include the day, the arrival window, what the customer needs to prepare, and a link to change or cancel. One reminder per visit, sent the day before, covers most of the no-show risk.
