Does annual billing save money, and when should I choose it?

Short answerOn Apex, annual billing means you pay for 10 months and get 2 free, so a year costs ten monthly payments instead of twelve. It saves money only if you stay the whole year. Choose monthly while you are still testing the fit, and annual once the tool has carried you through a busy season.

The explanation

The arithmetic is plain. Two free months out of twelve is one month in six. Break-even arrives in month ten: if you would have kept the tool at least ten months anyway, the annual price costs you less in total. If you leave earlier, you paid for months you did not use, and you should read the refund terms shown at purchase instead of assuming a refund.

Cash flow matters as much as the discount. Annual billing takes the whole amount at once. A business with a slow winter or a long off-season may prefer to pay in the months it earns. Starting an annual plan right before your slow season means the money goes out when little comes in.

The table shows Apex's totals for the base plan, with the Business figure at six users. Watch how any vendor advertises the number. A price written as per month, billed annually looks lower than the monthly price, but it is real only if you commit to the full year. Ask for both figures and check how added users are billed on an annual plan before you pay.

Self-serve plan changes are a partly built feature, so look at the billing screen in the app for the options currently shown. Do not count on a mid-year switch until you have seen it offered.

What if my crew grows during an annual year?

Above 6 users, each extra user adds $10 a month on the monthly plan. How added users are billed during an annual term is a question to settle before you pay.

How do I check whether the annual deal is worth it?

Count the months you would realistically keep the tool. If the answer is ten or more, annual wins on cost. If you are unsure, pay monthly through one busy stretch, then switch.
