What does guided onboarding cost, and when is self-serve setup enough?
Short answerSetup and import are free and self-serve on every Apex plan. Optional guided onboarding is a one-time fee: $99 for Solo, $199 for Crew and $399 for Business. Self-serve is enough for a small crew with a clean customer list. Pay for guidance when your data is messy or several people must learn at once.
The explanation
Self-serve covers a setup wizard and a customer import. It suits a business with one trade, one price list, customers sitting in a single spreadsheet or an export from old software, and one person doing the setup. If that is you, the free route is the sensible start.
Guided onboarding earns its fee when the work is hard to do alone. Customer data scattered across notebooks, phone contacts and an old tool needs cleaning first. Several price lists need merging. Routes have to be built, or five people must learn the system in the same week. Paying once for help can cost less than the owner's own hours.
A simple test settles it. During the trial, give the wizard one focused hour. If you reach a working schedule with real customers in it, you do not need help. If you stall at the import, buy it. Whatever you choose, ask what exactly the one-time fee covers and what falls outside it, in writing. Done-for-you data migration is a partly built feature, so confirm what is offered today.

Is customer import really free?
Yes. Setup and import are free and self-serve on Apex. Only the optional guided onboarding carries a one-time fee, and you can start without it.
How should I prepare my customer list for import?
Export the list from your old tool, remove duplicates, put phone numbers in one format and confirm each address is complete. After the import, open twenty records and check them against the original.
Can I use guided onboarding for a team that is spread across trades?
It is most useful when several people or price lists must be set up together. Describe your trades, user count and data sources first, and ask what the fee covers before you pay.
