What is a double appointment?
Short answerA double appointment is two appointments held for the same person or resource at the same time, so one customer will be late or turned away. It usually happens when two people book through different channels without a single shared calendar that checks for conflicts.
The explanation
The common cause is two sources of truth. A customer books online while the office takes a phone call and writes the slot on paper. Neither sees the other, and both promises are made. Sometimes a tech adds a personal block that never reaches the shared view.
Prevention is mostly structure. Keep one calendar that all channels write to. Make the booking page read from that calendar so taken times vanish. Set buffers between appointments, so a long job does not run into the next one.
Some businesses double book on purpose, such as a clinic that expects no-shows or a class with a waitlist. That is a decision with a rule behind it, not an accident. If you do it, cap how many, and tell the person who will handle the overflow.
What to watch for
- Writing appointments on paper while online booking runs.
- Forgetting personal time blocks on the shared calendar.
How Apex does it

Part of this is built. The rest is not. Status as of 2026-10-07; the badge shows the least-built feature involved.
Apex shows real availability on its booking page, and works toward buffer time between jobs and time blocks or personal events. The availability view is built, buffers are partly built and time blocks are a screen.
