Waitlist: what it means

DefinitionA waitlist is an ordered list of customers who want a date or time that is already full and agree to be offered an opening if one appears. When a cancellation happens, the business contacts the next person in line, which turns an empty hole into revenue.

How it works in a service business

Waitlists are most useful in seasons with long backlogs, such as spring lawn work or holiday cleanings, and for businesses with many same-week cancellations. The tradeoff is speed and fairness: if the first person does not answer in time, the slot should pass to the next person quickly, or the hole stays open. Offering to several people at once is faster but risks two acceptances. A common mistake is keeping a waitlist as a notebook page that nobody checks when a cancellation arrives. Record what each person will accept, such as any weekday morning or only Friday, so the offer goes to someone who can actually say yes right away.

Example

A cancellation opens Wednesday at two. The system offers it to the first waitlisted customer, who has ten minutes to accept before the offer moves to the next name.
