How do you get away with double booking?
Short answerYou usually cannot hide a double booking, because the customer arrives and sees the other one. What works is honest overbooking: wider arrival windows, a waitlist, a clear policy, and a deliberate cap based on your real no-show rate. Hidden overlaps lose customers faster than the extra revenue earns.
The explanation
Some businesses overbook on purpose because customers cancel or fail to show. Airlines and clinics do it. The approach only works when there is a way to absorb the overflow: a second tech on call, a flexible window, or a waitlist that fills the gap.
For a home service crew, the numbers rarely support it. A late job cannot easily be slid, and the customer is waiting at home. If you want a buffer against cancellations, use a short waitlist that is told in advance they may get a call to move earlier.
The honest version has three parts. Tell customers about the window, not a fake exact time. Set a cap based on your history of cancellations. Track how often the overflow causes a complaint, and stop if the rate goes up. If you find yourself hiding the overlap, the plan is already failing.
Steps
- Measure your no-show and cancellation rate for three months.
- Use a waitlist rather than a hidden second booking.
- Offer arrival windows that cover the uncertainty.
- Set a firm cap on overflow.
- Review complaints each month and adjust the cap.
What to watch for
- Promising an exact time you cannot keep.
- Overbooking tight days that rely on a single crew.
How Apex does it

Apex is designed to offer arrival windows, a waitlist that backfills, a cancellation policy with no-show fees and a no-show report. Windows and the no-show report are built, and the waitlist and fee rules are in progress.
