Double booking: what it means
DefinitionDouble booking is when two appointments end up assigned to the same person, crew or resource for overlapping times. It usually comes from two entry points, such as the phone and a web page, that do not check each other, or from a manual calendar that nobody reconciles.
How it works in a service business
The damage is plain: one customer gets a late tech or a cancellation. Common causes are a phone call logged on paper, an online request accepted without checking the calendar, and a recurring job that was never blocked out. Prevention has two layers. First, every channel writes to one shared calendar. Second, the system checks for overlap at the moment of booking, not afterward. Slot holds help by reserving a time while a customer finishes the form. The tradeoff is flexibility, since a hard block also stops a deliberate overlap. A common mistake is trusting two separate calendars to stay in sync by hand. Keep one source of truth and make every channel use it.
Example
The office books a Tuesday ten o'clock deep clean by phone while a web visitor requests the same crew at the same time. A shared calendar flags the clash before either is confirmed.
