What is double booking in scheduling?

Process: Double booking and capacity. Reviewed 2026-10-07.

Short answerDouble booking in scheduling means the system accepts two appointments that need the same person, crew, vehicle or room at the same time. It usually happens because the software checks whether a time slot is empty but not whether the resource behind it is free for the full length of the job.

The explanation

A scheduler has two kinds of data: time and resources. Time is the calendar slot. Resources are the people, trucks, tables or rooms that make the visit possible. A double booking is a conflict on a resource, even when the time slot looked open.

The common causes are mechanical. Two booking channels write to different lists. A job has no duration, so the system assumes an hour. A manual override skips the conflict check. A recurring job generates visits that nobody compared with one-time bookings.

The fix is a single source of truth and a real conflict check. Every request, from web, phone or text, goes into one calendar. Each service carries a duration, and each resource carries a capacity. When a request would overlap, the system should refuse it or flag it for a person to decide.

What to watch for

  • Services with no duration set.
  • Phone bookings kept in a separate notebook.

How Apex does it

In progress

Part of this is built. The rest is not. Status as of 2026-10-07; the badge shows the least-built feature involved.

Apex shows visitors real availability, holds an online request as pending until the owner confirms, and can add buffer time between jobs. An overbooked warning on the board is a demo screen and does not save live data yet.

  • BK11Booking requires owner approval (request mode)(Built)
