How does scheduling software work?
Short answerScheduling software stores who can work, what services take how long, and when people are available, then calculates open time slots from those rules. When a visit is confirmed it blocks that time for the person, so the next customer sees fewer openings. Rules such as buffers and lead time change what is offered.
The explanation
Three pieces drive everything: people or crews with working hours, services with durations, and existing visits that occupy time. The software subtracts the visits from the working hours, then fits the service length into what remains. Add a buffer and the same service needs a longer gap.
Rules shape the offer. A lead time hides slots that start too soon. A service area removes addresses you do not cover. A skill rule offers only the crew qualified for the service. The customer sees the result as a short list of times, though a lot of arithmetic sits behind it.
Confirmation is the moment that matters. Until a request is confirmed, time may or may not be held, depending on how the tool is built. Reminders, reschedule links, and cancellation rules then keep the calendar accurate after the visit is set.
