Capacity: what it means

DefinitionCapacity is the amount of work a business can actually complete in a given period, measured in hours, jobs or visits, given its people, vehicles and rules. Setting capacity in scheduling software stops customers from booking more than the team can deliver.

How it works in a service business

Capacity is not headcount times eight hours. Subtract travel, buffers, breaks, call-outs and the jobs that overrun. What is left is what you can honestly sell. Setting it in the booking system matters because the public page will keep offering times until told to stop. The tradeoff is utilization versus reliability: running at the very edge fills every hour but turns one sick day into a crisis, while leaving room costs revenue but absorbs shocks. A common mistake is measuring capacity by the best week ever. Use a typical week, and lower it for seasons when jobs run long or crews are short.

Example

A cleaning company with three crews sets a limit of nine home cleanings a day, not twelve, because the crews average a bit over three hours each once travel is counted.
