Why does my air duct cleaning scheduler keep double booking me?

Process: Double booking and capacity. Trade: Residential cleaning (maid service). Reviewed 2026-10-07.

Short answerA duct scheduler double books when it blocks the wrong thing. Most systems block a calendar slot, but the true limit is a crew, a truck and a vacuum unit for a set number of hours. Tie each job length to those resources and the second booking stops fitting.

The explanation

Two customers can pick the same Saturday morning because the booking page checks only whether a time is free, not whether the one truck and the one crew are free for the full length of a whole house job.

Give each service a duration that matches the house, count the crew and the truck as the limited resource, and let phone bookings go into the same calendar the website reads.

To test your own setup, make one booking by phone and one on the website for the same hour, in air duct cleaning terms the same crew and the same length, and see whether the second is refused. If it is not, the calendars are not sharing one source of truth. Repeat that test after any change to services or staff, since a new service with no length is a common source of overlap. Write down each result so the next change has a record to compare against.

Steps

  1. List every place a air duct cleaning request can enter: website, phone, text and walk-in.
  2. Move all of them into one calendar so no channel works from a private list.
  3. Set a real duration on every service.
  4. Set the number of crews, techs or tables as the true limit.
  5. Test with two competing requests for the same hour before you trust it.

What to watch for

  • A second calendar that never syncs.
  • Manual overrides made without checking the board.

In residential cleaning (maid service)

Duct work needs a specialized crew and one rig. If a second duct job lands on the same morning, there is nothing to swap in, so the overlap becomes a rescheduled customer. All residential cleaning (maid service) scheduling questions.

How Apex does it

In progress

Part of this is built. The rest is not. Status as of 2026-10-07; the badge shows the least-built feature involved.

Apex shows visitors real availability, holds an online request as pending until the owner confirms it, and can add buffer time between jobs. An overbooked warning on the schedule board is built as a demo screen and is not yet saving live data.
