How to avoid double booking appointments?

Process: Double booking and capacity. Reviewed 2026-10-07.

Short answerUse one calendar for every channel, set a true duration on each service, treat each crew or room as a limited resource, and hold online requests as pending until someone confirms them. Then check tomorrow's board every evening. Most double bookings come from two lists or a missing duration.

The explanation

Start with the source of truth. If a booking can arrive by web, phone, text or walk-in, all of them must land in one calendar. The moment a second list exists, a conflict is only a matter of time.

Then make the calendar smart enough to refuse. Give each service a realistic duration, set the number of crews or rooms as a limit, and add buffer time for travel or cleanup. If your tool lets a human override, require a reason.

Finally, add a human check. A request that arrives online is pending until the owner or a rule confirms it, and an evening review of tomorrow catches what rules miss. Fix the cause when you find an overlap, not just the one job: ask which channel or setting let it through.

Steps

  1. Move every booking channel into one calendar.
  2. Set a duration on every service.
  3. Define crews, techs or rooms as limited resources.
  4. Hold new online requests as pending.
  5. Review tomorrow's full schedule every evening before you close.

What to watch for

  • Manual overrides with no note.
  • Recurring visits not checked against one-time jobs.

How Apex does it

In progress

Part of this is built. The rest is not. Status as of 2026-10-07; the badge shows the least-built feature involved.

Apex treats an online request as pending until the owner confirms it, shows real availability, and can add buffers. Recurring jobs that generate visits automatically are partly built and checked against the live schedule.
