How to cancel a business software subscription safely?

Process: Switching and cancelling. Reviewed 2026-10-07.

Short answerCancel a business software subscription safely by reviewing the contract and renewal date, listing every user and add on, exporting your data, canceling in the account or by written request, and checking the next card statement. A written confirmation with an end date is your proof.

The explanation

Start with the paperwork. Find the signup terms, renewal date, notice period and refund policy. Note who owns the account, since the cancel option often sits with the original admin and the email on file may belong to a former employee.

List what the subscription includes beyond the main fee: extra users, phone numbers, message packs, payment processing and integrations. Each may need to be turned off separately, and some may keep billing under their own accounts.

After canceling, check the next statement. If the charge continues, contact the vendor with your confirmation and, if needed, your card issuer. Keep the data export for as long as you might need it, and tell staff the old tool is gone so nobody keeps entering work there.

What to watch for

  • The admin email belongs to someone who left.
  • Add ons that keep billing.
  • No confirmation that shows an end date.
