How to cancel quickbooks account?
Short answerBefore cancelling accounting software, save what you cannot easily recreate: year-end reports, the customer and vendor lists, the chart of accounts and key attachments. QuickBooks Online's help page says a single canceled subscription leaves read-only access for one year, which gives you a window but not a plan [1].
The explanation
Tax season is the usual trap. Owners cancel in January, then need a December report in March. Download profit and loss, balance sheet, sales tax and payroll summaries for each year you may need, as PDF and spreadsheet.
Lists matter too. Export customers, vendors, items and the chart of accounts so you can recreate them in a new tool. Save attachments such as receipts if you stored them in the software, since a read-only window does not promise access to everything.
Finally, talk to your accountant. They may prefer to keep one subscription active for read-only access, and the vendor page says keeping at least one with the same login preserves read-only access indefinitely [1]. Pick an end date, run both tools side by side for a month, and cancel only after the new numbers match.
Steps
- Export year-end reports as PDF and spreadsheet.
- Export customers, vendors, items and the chart of accounts.
- Save receipts and attachments stored in the software.
- Run the new tool beside the old for a month, then cancel.
What to watch for
- Cancelling just before a tax filing.
- Forgetting payroll summaries held in the old system.
How Apex does it
In progress
Part of this is built. The rest is not. Status as of 2026-10-07; the badge shows the least-built feature involved.
Apex has an online accounting sync, chart of accounts mapping and an import from the accounting tool. All three are rolling out or in progress, and Apex does not replace an accounting system.

- AC04Chart of accounts mapping(In progress)
