How to export a customer list from a booking system?

Process: Switching and cancelling. Reviewed 2026-10-07.

Short answerLook for Export or Download in the customers section of your booking system, or in its reports, and save the file as a CSV. Then open it in a spreadsheet and confirm it has names, phones, emails, addresses, notes and last visit dates before relying on it.

The explanation

Most booking systems have a customer or client list with an export button somewhere near the top. If you cannot find one, check settings, reports and the help center. Some systems limit how many rows come out at once, so a long list may need several files.

When you have the file, audit it. Count the rows against the number shown in the system. Check that phone numbers did not lose their leading digits, that notes made it across, and that the last visit date is present, since it drives rebooking lists.

If the system has no export, ask support in writing. You own your customer relationships, and a vendor that cannot hand you the list is a risk. As a last resort, copy the list from the screen into a spreadsheet by hand for the customers you serve most, and keep it updated monthly.

Steps

  1. Open the customers or clients section and look for an Export or Download option.
  2. Save the file as a CSV and keep a dated copy off the system.
  3. Open it in a spreadsheet and count the rows against the system's total.
  4. Check phone numbers, addresses, notes and last visit dates for gaps.
  5. Ask support in writing if the export is missing columns.

How Apex does it

Part of this is built. The rest is not. Status as of 2026-10-07; the badge shows the least-built feature involved.

Apex works toward a customer CSV export at any time, data export on cancel and CSV export for any report. The report export is built, and the other two are partly built.
