How do I sync my phone and calendar?

Short answerChoose one calendar as the master, then connect the phone to it either by two-way sync or by a read-only subscription feed. Two-way sync lets changes made on the phone flow back, while a feed only displays them. Most service businesses are safer with one master and everything else reading from it.

The explanation

The mistake that causes double visits is two calendars that both accept edits. If a customer visit lives in the scheduling system and also in a personal phone calendar, someone will eventually move one and forget the other. Decide which calendar is the master and treat the rest as views.

Two-way sync is convenient when you are one person. You add a dentist appointment on the phone and the scheduling system blocks that time. The risk is conflict: if both sides change the same event, one change may win without warning. A subscription feed, usually a link ending in ics, is read-only and avoids that, but it may refresh on the phone only every few hours.

For a crew, the usual answer is feed for the field staff and two-way only for the owner, so that personal blocks reach the schedule while crew phones cannot change visits by accident.

Steps

  1. Name the master calendar, normally the scheduling system, and write it down for everyone on the team.
  2. Add a read-only feed of that calendar to each phone's calendar app.
  3. If you need personal time to block bookings, connect your own calendar by two-way sync for the owner account only.
  4. Test with a dummy visit: create it, move it, delete it, and watch both sides update.

What to watch for

  • Editing a visit in the phone calendar when the feed is read-only. The change will not reach the schedule.
  • Waiting for the feed to refresh. A phone may show yesterday's version for several hours.
