How do i sync my calendars?
Short answerTo sync your calendars, choose one main calendar that receives every new booking, then connect your other calendars so they are checked for conflicts. Do not copy events by hand between them. Each extra copy is a chance for a mismatch, and a mismatch is how two customers end up in the same hour.
The explanation
Most scheduling mix-ups come from having three calendars that disagree: a personal phone calendar, a work calendar and a booking tool. Decide which is the master. For a service business, that should be the calendar your crew actually looks at every morning.
Connect the others in one direction when you can. Your personal calendar should block time on the master so you are not offered for a family event, but you do not want customer jobs appearing in a child's school calendar. Check the settings that control what details are shared.
Test the setup with a fake booking. Create an event on the personal calendar and see whether the booking page hides that time. Then book a test job and see where it lands. Repeat after any account change. A sync that worked last year may have been disconnected by a password reset.
Steps
- Pick one master calendar that the crew checks daily.
- Connect personal calendars so they block time on the master.
- Choose which calendar receives new bookings.
- Test with a fake personal event and a fake booking, then retest after account changes.
What to watch for
- Copying events by hand between calendars.
- Sharing job details with calendars the customer or family can see.
How Apex does it
In progress
Part of this is built. The rest is not. Status as of 2026-10-07; the badge shows the least-built feature involved.
Apex has two-way Google and Outlook calendar sync and a free and busy conflict check against a personal calendar. Both are in progress, so test each connection with a fake booking before relying on it.
