How to cancel a bookings appointment?

Short answerTo cancel an appointment from the owner side, mark it cancelled instead of deleting it, tell the customer straight away with a new date offer, free the crew and route slot, and record the reason. Keeping the cancelled record preserves your history and your cancellation reports.

The explanation

Cancelled is a status, not an erasure. When an appointment is deleted, it vanishes from reports, and you lose the ability to see how often you cancel, who cancels and why. Keeping it as cancelled with a reason keeps the numbers honest.

Tell the customer before anything else. Use the channel they prefer, say what happened, and offer two new dates. If you cancelled for weather, a sick technician or a supply problem, take responsibility rather than hiding behind the system. Automatic notices are fine only if the message is clear.

Then clean up behind it. Free the crew, remove the stop from the route, release any held deposit according to your policy and check recurring series so only the intended visit is cancelled. If a waitlist exists, offer the opening.
