What is the best free mechanic shop software?

Process: Software pricing and choosing. Trade: Auto repair shop. Reviewed 2026-10-07.

Short answerNo single free tool is best, so judge candidates on four things: vehicle records, estimate approval, parts handling and a customer export. Free appointment tools such as Setmore and Square Appointments cover booking only ^[1]^[2]. A shop that needs the other three should plan for a paid tool.

The explanation

Score each candidate from zero to two on four questions. Does it store the vehicle, not only the owner? Can the customer approve an estimate and leave a record? Can you track parts ordered against a job? Can you export everything if you leave? A total under five means it is a calendar, not shop software.

Be honest about what free appointment tools are. Setmore advertises a free plan ^[1], and Square Appointments lists a Free tier at $0 per location ^[2]. Both are meant for booking, so on those four questions they usually score on the export and little else.

Weigh the cost of the gaps. If you currently use paper repair orders and they work, a free booking tool added on top is a fair step. If you are losing approvals or forgetting parts, the lost money is likely larger than a monthly fee for a real shop tool.

Steps

List four questions: vehicle, approval, parts, export.
Score each candidate zero to two on each question.
Compare the total against your current paper process.
Trial the top scorer on three real repair orders.

What to watch for

Choosing on price before checking vehicle records.
No export, which makes leaving a free tool costly.

In auto repair shop

Shop records are tied to the vehicle, and a customer may bring three different cars, so owner-only records leave mechanics guessing about past work. All auto repair shop scheduling questions.

How Apex does it

Rolling out

The screen and the rules are built and tested. Saving real customer data is not connected yet. Status as of 2026-10-07; the badge shows the least-built feature involved.

Apex lists an auto repair and shop pack and equipment or asset history per customer, each with its own status badge. It does not list parts catalog integration as built. A 14-day free trial needs no card.
