Calendar sync: what it means

DefinitionCalendar sync keeps appointments in a scheduling product and a separate calendar, such as a phone or work calendar, matching each other. It can be one-way, pushing visits out, or two-way, where changes on either side update the other.

How it works in a service business

Owners often live in their phone calendar, so syncing means visits show up where they already look. Two-way sync also lets personal events, like a dentist visit, block times in the scheduler so customers cannot book them. The tradeoff is conflict risk: when both sides can edit, a change in one place can overwrite the other or create duplicates. A common mistake is syncing a calendar full of private entries and exposing their details. Choose what is shared, such as busy or free only. Test with one visit: create it, move it, cancel it and watch both calendars. Know how long sync takes, since a delay of several minutes can still allow a conflicting booking.

Example

A dentist appointment added to the owner's phone calendar shows up as busy in the scheduler, so no customer can book that hour.
