How to sync apple calendars?
Short answerApple Calendar syncs through iCloud: sign in to the same Apple Account on every device and make sure Calendars is turned on in the iCloud settings. Apple says changes on one device then appear on all of them, and iCloud.com shows the same calendars in a browser [1]. Check the account first if something is missing.
The explanation
Apple's help page explains that with iCloud for Calendar, your calendars are stored in the cloud and visible on any device set up for iCloud, including iPhone, iPad, Mac and Windows [1]. Adding, editing or deleting an event on one device updates the others automatically [1].
So the first check is the account. Open settings on each device, confirm the Apple Account is the same, and check that Calendars appears in the list of apps saved to iCloud. A crew member signed in with a personal Apple Account will not see a shared work calendar.
If you share a calendar with staff, use the share option so they see the same events, and decide who can edit. Keep one person responsible for creating jobs, so edits do not overlap. After a change, check each phone has refreshed.
Steps
- Sign in to the same Apple Account on every device.
- Turn on Calendars in the iCloud settings on each device.
- Share the work calendar with staff and set who can edit.
- Add a test event and confirm it appears on every phone.
What to watch for
- Letting staff sign in with personal Apple Accounts and wondering why events differ.
- Giving every person edit rights to the shared calendar.
How Apex does it
In progress
Part of this is built. The rest is not. Status as of 2026-10-07; the badge shows the least-built feature involved.
Apex has an iCal subscribe feed and two-way calendar sync as in-progress pieces, and role-limited calendar views that are built. A subscribe feed lets staff see the schedule in their own calendar app.
