Why is google calendar so bad?

Process: Integrations and accounting. Reviewed 2026-10-07.

Short answerOwners who find Google Calendar frustrating for service work [1] are usually running into things it was not built for: reminder emails with fixed wording, no job statuses, no route planning and no invoicing. The appointment schedule help page confirms you cannot edit reminder text and can send up to five [1]. It is a calendar, not a dispatch tool.

The explanation

Start with what is documented. The appointment schedule feature gives you a booking page, a form with required name and email, and confirmations and reminders [1]. Those are real features, but they are about meetings, not jobs with addresses and crews.

Then the missing pieces. A service crew wants to see drive time, assign a job to a person with the right skill, mark status as on the way or done, attach photos and invoice. A calendar event does not carry those. People paste them into descriptions, which become hard to search.

The fix is not to abandon the calendar. Keep using it for personal time and as a display. Put the work itself in a system that stores jobs, customers and routes, and let that system feed the calendar. It leaves each tool doing what it is good at.

What to watch for

  • Using event descriptions as a customer database.
  • Blaming the calendar for features it never promised.

How Apex does it

In progress

Part of this is built. The rest is not. Status as of 2026-10-07; the badge shows the least-built feature involved.

Apex has two-way calendar sync, a multi-technician board and tech on the way, arrived and done taps. The sync is in progress, the board is rolling out and the status taps are built for Apex's first business.
