What is a no-show fee?
Short answerA no-show fee is a charge a business applies when a client skips an appointment without giving the notice its policy requires. It compensates for the time held and lost. To be fair and defensible, it must be disclosed before the booking and applied the same way every time.
The explanation
The logic is simple. A service business sells time, and a held slot that goes unused cannot be resold. The fee recovers part of that. It is usually a flat amount or a share of the service price, sometimes charged to a card stored at booking.
Disclosure is what separates a fee from a surprise. Show it on the booking page, in the confirmation, and ideally with a box the client ticks. Square's appointments pricing page lists a cancellation policy and no-show fee feature on its Plus plan, described as setting time frames and charging the card on file [1]. Other tools use different names for the same idea.
Rules about fees and card charges differ by state and by payment network. Check your own state's consumer rules and your payment provider's terms before you set an amount, and keep the policy text short and plain.

- Decide the notice period and the fee amount or percentage.
- Write the policy in two sentences and place it on the booking step.
- Require acceptance and a card on file for services where the fee applies.
- Apply the fee consistently and record each case on the client file.
What to watch for
- A fee that appears only after the no-show. It will be disputed.
- Charging a fee to a client who gave notice inside the window.
