How do I stop barber customers from ghosting appointments?

Process: Cancellations and no-shows. Trade: Barbershop. Reviewed 2026-10-07.

Short answerHold new clients with a card on file, count each miss on the client record, and limit online booking after a third. Repeat no-shows are a small group causing most of the empty chairs, so a clear strike rule protects the day without penalizing the regulars who show up every time.

The explanation

In a barbershop, a few clients account for a large share of the misses. A simple strike rule makes that visible. First miss, a friendly note. Second miss, a reminder that a fee applies. Third miss, online booking is turned off and the client must phone or walk in.

A card on file for first-time clients is the least intrusive control. It signals that the chair is reserved for them and that a fee exists, and it costs nothing when the client shows up. Regulars can be exempt once they have a clean history.

Always have the next move ready. A waitlist or a list of walk-in regulars lets you fill the chair within minutes of a miss. When you refill it, the no-show costs you little, and the fee becomes a matter of principle rather than of survival.

Steps

  1. Require a card on file for first-time online clients.
  2. Record every no-show on the client record and apply the strike rule.
  3. Turn off online booking after the third miss and ask the client to phone.
  4. Message the waitlist at once when a chair opens.

In barbershop

A barber's income is chair time in thirty minute pieces, and a no-show cannot be recovered later in the day. Because visits are short and frequent, a light strike rule works better than a heavy deposit. All barbershop scheduling questions.

How Apex does it

Part of this is built. The rest is not. Status as of 2026-10-07; the badge shows the least-built feature involved.

Apex is designed to apply a cancellation policy with no-show fees, keep a do-not-service list and run a waitlist that backfills open slots. The policy and waitlist are in progress, and the list is rolling out.
