How do I deal with no-show clients?

Process: Cancellations and no-shows. Reviewed 2026-10-07.

Short answerMessage the client the same day, apply your written policy exactly once, offer a new time, and record the miss on their file. A calm, consistent routine turns a no-show from an argument into a lookup, and the recorded history shows which clients are one-off slips and which are habits.

The explanation

The first hour after a no-show decides how it ends. A short, neutral message that says we missed you today and links a new time gets a response far more often than silence or an angry text. Most no-shows are forgetfulness or a crisis, not insult.

Apply the policy once and in writing. If your rule is a fee after one miss, charge it or waive it deliberately, and say which. Inconsistent enforcement is what turns clients hostile, because they cannot tell whether the rule is real.

Keep a record. A note on the client file with the date and the visit type lets you see a second miss immediately. Two misses can trigger a card-on-file requirement, three a conversation about whether you continue. Decide those lines in advance so you are not inventing them while annoyed.

Steps

  1. Mark the visit as a no-show, not cancelled, so the record stays honest.
  2. Send a short same-day message with a link to rebook.
  3. Apply or waive the fee under your written policy and say which in the message.
  4. Add a note to the client file and flag repeat misses for a stricter booking rule.

What to watch for

  • Waiving fees silently. Clients notice, and the rule stops meaning anything.
  • Calling a late arrival a no-show without a stated grace period.

How Apex does it

Part of this is built. The rest is not. Status as of 2026-10-07; the badge shows the least-built feature involved.

Apex is designed to report no-shows and cancellations, apply a cancellation policy with no-show fee rules and keep a do-not-service list for repeat offenders. The policy and list pieces are in progress or rolling out.
