How to sync calendars on apple devices?

Process: Integrations and accounting. Reviewed 2026-10-07.

Short answerTo sync calendars on Apple devices, use the same Apple Account on the iPhone, iPad and Mac, make sure iCloud Calendars is on, and set an iCloud calendar as the default for new events. Apple's support page also suggests refreshing by swiping down in the Calendars tab on iPhone [1].

The explanation

The setup is the same across devices. In settings, open your Apple Account, then iCloud, and check that Calendars is saved to iCloud. On the Calendar app, make sure every iCloud calendar is selected so none are hidden [1].

If you have Google or another account on the same phone, new events can land there by accident. Apple notes you can set the default calendar to an iCloud one so new events save where you expect [1]. On a Mac, Calendar has a menu option to refresh calendars [1].

For a work crew, keep personal and job calendars separate and name them clearly. That way a quick look at the Calendar app shows jobs in one color and family events in another. Test by creating a job on the Mac and watching it appear on the phone.

Steps

  1. Use the same Apple Account on each device and turn on iCloud Calendars.
  2. In the Calendar app, select all iCloud calendars.
  3. Set an iCloud calendar as the default for new events.
  4. Swipe down to refresh on iPhone, or use Refresh Calendars on Mac.

What to watch for

  • New events landing in a non-iCloud account by default.
  • Hiding a calendar by accident and thinking events are missing.

How Apex does it

In progress

Part of this is built. The rest is not. Status as of 2026-10-07; the badge shows the least-built feature involved.

Apex has an iCal and ICS subscribe feed and two-way calendar sync, both in progress. A subscribe feed would show scheduled jobs inside the Apple Calendar app without retyping them.
