How do I stop forgetting to follow up with contractor customers?

Short answerStop relying on memory by giving every open quote a dated next step. When you send an estimate, set the follow-up date right then, assign it to a person, and let a task list surface it each morning. A follow-up that lives only in your head will lose to a busy week.

The explanation

Remodeling quotes sit for days or weeks while the homeowner compares bids, so the risk is silence, not rejection. The fix is a rule: no quote leaves your hands without a calendar date for the next contact. Two to three touches spread across the decision window is a reasonable practice pattern, adjusted to how long your jobs usually take to decide.

Make each touch useful. The first can confirm the homeowner received the numbers and ask whether anything was unclear. The second can offer a short site revisit or a material sample. The third can state plainly when your schedule for the start window fills, which is true information and not pressure.

Keep the log where the customer record lives. If notes from the call sit in a text thread on one person's phone, the next person cannot pick up the thread. One list, one owner per task, reviewed first thing in the morning.
