How to send text message reminders?
Short answerAutomatic text message reminders work from three pieces: a trigger such as the appointment being confirmed, a template with variables for name, date and window, and timing rules such as one day before. Set them once, test them on your own phone, and review the first week of replies for problems.
The explanation
The trigger matters. A reminder should go out only for confirmed visits, not for requests still waiting on your approval. Otherwise the customer thinks a pending request is a done deal.
Build one template and use placeholders for the changing parts: first name, date, window and address. Keep it short. Add a line telling the customer how to cancel or reschedule, and include opt-out wording so they can stop messages. Many texting providers require this.
Test on your own number for a fake booking and check how the message looks. Then watch real replies for a week. Replies such as who is this, or wrong day, tell you the template needs work. Adjust timing too: jobs with long lead times may need a reminder a few days out and another the day before.
Steps
- Choose the trigger: the visit is confirmed.
- Write one template with placeholders for name, date, window and address.
- Set timing, such as one day before the visit.
- Send a test to your own phone, then review real replies for a week.
What to watch for
- Sending reminders for pending requests that were never confirmed.
- Leaving out opt-out wording the provider requires.
How Apex does it

Part of this is built. The rest is not. Status as of 2026-10-07; the badge shows the least-built feature involved.
Apex has appointment reminders, customizable message templates and opt-out handling with quiet hours. Reminders are built and templates are in progress. Texts need the owner's provider account and number registration before anything sends.
